Recording and Child Safety Policy

Most of our students are children, and their parents trust us with them in a live online room. This page explains, in plain words, the rules we follow to keep them safe. It applies to every teacher, helper and family at Sikhi Noor Academy.
1. Our promise
- A child's safety and dignity come before everything else, including class schedules and sales.
- Every class is a shared, open space. No teacher is ever expected to be alone with a child where nobody else can see.
- If something does not feel right, anyone can say so, and we will listen and act.
2. Who can be in a class
- Only enrolled students, their guardians, and the academy's teachers and helpers are admitted.
- Each class has its own private Zoom link, sent by email only to enrolled families. Links are never posted publicly.
- Classes use a waiting room. The teacher lets in only people they recognise, and any unknown name is not admitted.
- Guardians are always welcome to sit in on any class.
3. Recording
- A class may be recorded so enrolled students can rewatch it and so we can keep teaching quality high. Everyone in the room is told when recording is on.
- Recordings are private. They are shared only with the families in that class, and are never posted publicly.
- A class with only one student is always recorded.
- Recordings are stored in the academy's own account, with access limited to the founder and the teacher who ran the class.
- We delete a recording 30 days after the class, unless a family has asked us to keep it, or it is needed to look into a concern.
- A family can ask us to delete a recording that includes their child at any time by emailing us. We will do it, unless it is being used to look into a concern.
- Families must not record, screenshot or photograph the class, other children or the teacher on their own devices. Only the academy records.
4. Photos and video for the website and social media
- We use a child's photo or video only if the parent or guardian ticked the separate optional box on the consent form at enrolment. Not ticking it never affects the child's place.
- A child is never shown with their full name, school, address or contact details.
- A parent can withdraw this choice at any time. From then on, we stop using their child's image in new posts, and we take down existing posts where we reasonably can.
5. How teachers and helpers behave
- Teachers use only the academy's own Zoom account and class links. Never a personal account.
- No private one-to-one calls, chats or video sessions with a student. If a student needs extra help, it happens in a class room that is recorded, and a guardian is welcome to join.
- Teachers do not contact children directly by phone, social media or private message. Messages about a child go to the guardian, or to the class group the guardian is part of.
- Teachers never ask a child for photos of themselves, personal details, or to keep anything secret from their parents.
- Teachers do not give children gifts, money or favours outside the academy's own certificates and awards.
- Teachers treat every child with respect, and use encouraging language. No shouting, shaming, name-calling or physical or religious pressure.
- Every teacher and helper reads and agrees to this policy before teaching.
6. How we set up Zoom
- Waiting room on, and the room locked once class has started.
- Screen sharing limited to the teacher.
- Private chat between students switched off. Students can message the teacher or the whole class only.
- Students cannot rename themselves to look like someone else, and they cannot start their own recording.
- The teacher can remove anyone who is disruptive or unsafe straight away.
7. What we ask of families and students
- Keep the class link private. Do not share or post it.
- Have an adult nearby and available while younger children are in class.
- Do not share home addresses, phone numbers or other personal details in chat.
- Tell a trusted adult, or us, if anyone in class says or does something that makes a child feel uncomfortable.
8. Raising a concern
Anyone, including a child, a parent, a teacher or a helper, can raise a concern about a child's safety or about how anyone behaved in class.
- Email hello@sikhinooracademy.com. Our safeguarding lead is the academy's founder, Gurpreet Kaur.
- We will acknowledge your message within 2 working days.
- If a concern is about a teacher or helper, they are paused from teaching while we look into it.
- We keep the matter confidential, share it only with people who need to know, and never punish anyone for raising a concern in good faith.
- If a child may be in immediate danger, call your local emergency services first, then tell us. Where the law or the child's safety requires, we will report to the proper authorities and cooperate fully.
9. Your information
How we handle personal information, including recordings of children, is set out in our Privacy Policy. The consent you sign at enrolment is in the Parent Consent Form.
10. Keeping this policy up to date
We review this policy at least once a year, and straight after any serious concern. When it changes, we post the new version here with an updated date.
